How to apply for the Erasmus+ programme (KA1)
In order to participate in the Erasmus+ programme, under Key Action (KA1), it is important to mention that this cannot be done individually, but always through an educational institution. The institution will be responsible for submitting a mobility project to the National Agency in its own country.
The application or project submitted must meet the requirements set out in the Erasmus+ Programme Guide, respecting the official deadlines and responding to the real needs of the applicant organisation.
Please note: KA1 Action does not provide funding for a specific activity, but rather for a mobility project that may include different activities tailored to the needs of the institution.
Preparing the Erasmus+ project application (KA1)
Participation in Key Action 1 of the Erasmus+ programme is subject to a formal procedure regulated by the European Commission and managed by the National Agencies in each programme country.
A key principle of the programme is that the application must be submitted by an organisation, not an individual. Therefore, if the project is accepted, the educational institution serves as the sending organisation: it takes on the administrative and financial responsibility for the project, manages the grant awarded, selects participants, organises mobility activities, monitors and assesses the project, and ensures its proper implementation.
In order to submit a project, three fundamental principles must be respected: the annual call for proposals, the official deadlines and the institutional responsibility of the applicant.
While the programme guide details the general conditions, the annual call for proposals specifies the operational aspects and timetable for each financial year (actions open for application, educational sectors included, available budget, submission deadlines and evaluation criteria).
Participation in the Erasmus+ programme requires the formal submission of an application, which must include the following points:
- Description of the organisation.
- Justification of the identified needs.
- Project objectives.
- Mobility activity plan.
- Budget forecast.
- Impact and dissemination strategy.
Project evaluation and dissemination of results
Once the application has been submitted, the project is assessed by the relevant National Agency in the applicant organisation’s country.
The evaluation is carried out using the criteria established in the annual call for proposals, but focuses primarily on the relevance of the project to the objectives and needs identified by the school, the quality of the design and planning of the mobility activities, the expected impact on participants and the organisation, and the quality of the measures for disseminating the results.
Each application is scored according to these criteria, and only projects that exceed the minimum threshold can be selected for funding.
Once this evaluation process is complete, the National Agency publishes the list of selected projects, the schools receive formal notification, and the process of signing the grant agreement begins.
If the school is not selected, it may apply in future calls for proposals by making improvements to its application.
